As a private online community to the film & television industry, our reason for processing data under GDPR is, for the most part, based on legitimate interests. We understand that on joining our network, you have trusted us with your data and we make every effort to keep your information safe and secure.

Access to Kays sites is password protected and users of the site have to be evaluated and registered before gaining access. When registering, users must agree to provide true, accurate, current and complete information about themselves for the request to be processed. Users are accepted only if the company or individual is professionally working within or servicing the film and television industry.

Seeded listings have been inserted throughout the data as one means of detecting piracy and protecting our copyright. An anti-spamming software runs across our sites to detect breach of our terms of service.

Whilst we seek to ensure that all users agree to our terms of service, we are not responsible for the use or misuse of your personal data by others. However, you may report to us if you experience any misuse of your personal data by any other user or third-party in relation to our sites and services. We shall, at your expense, reasonably co-operate with you in enforcing our contractual terms against others who have misused your personal data.

What Information We Collect

If you contact us (via email, telephone, post or otherwise) we may collect and retain your contact details and the content of your communication. Such details will be used in the handling of your enquiry and record keeping.

If you register with us and/or subscribe to Kays services, your registration and subscription details will be retained by us for the purposes of administering your account. Information we hold for this purpose includes: your name, address, telephone numbers, email, website, business activity/description and account passwords.

If you have a profile on Kays platform, this will be visible to others in accordance with the services we provide to them. The information included within your profile depends on the type of listing you have. The information required for your listing will be made clear at the point the information is collected, or provided to us. Certain information is required to provide the basis of a profile, whilst other additional information is optional. Some information such as the postal addresses of listings in freelancer categories is not visible to users of Kays platforms. Our sites also have an internal messaging service for communications between registered users, meaning you do not have to publish your personal email address in order to be contacted.

How We Collect The Information

The majority of personal information is collected direct from the owner. Occasionally it may be provided by a representative of the owner, such as an agent. In these circumstances, it is the responsibility of the representative to ensure that the owner is aware that their details have been passed on to Kays and for what purpose.

Kays will take all reasonable steps to ensure that any personal data we hold is accurate and kept up to date. We will check the accuracy of any personal data at the point of collection and at regular intervals afterwards. 

You will be provided with a username and password, which can be used at any time to log into your listing information and manually edit/amend most of your data.

How We Use This Information

We will use your personal information for the purpose(s) for which you have provided it to us including to:

  • Create, manage and update your profiles on Kays platforms
  • Process orders, take payments and arrange delivery of goods
  • Notify you of changes, updates and additional features to our services
  • Contact you with information about goods and services which we feel may be of interest to you

Storage And Security

All information you provide to us is stored on our secure servers (GDPR approved).

Where you are given (or where you have chosen) a password which enables you to access part of Kays sites, you are responsible for keeping this password confidential. We ask that you do not share your password with anyone.

Disclosure Of Your Information

We may share your personal data to any member of our Group, which means our subsidiaries, our ultimate holding company and its subsidiaries, as defined in section 1159 of the Companies Act 2006.

We may also share your personal data with the following, who act as our processors:

In practice, an account will be deleted after two years of inactivity.

Marketing

We would like to provide you with information about goods and services which may be of interest to you and may contact you about these by post, telephone or electronic means (e-mail or SMS).

We will only send information that is relevant to the services you provide. All marketing material from unrelated third-party companies is sent directly from Kays or our registered mailing house. Your contact information is never shared with a third-party company.

You also have an option on your profile as to whether you wish to receive communications via our internal messaging system. This may be switched off/on at any time.

If a company/individual is recommended to us for listing or advertising purposes, we may contact such a person using the contact details provided to us and enquire whether they are interested in our services.

Our website uses cookies. Cookies are small text files that are stored on the hard drive of your computer. They are used to collect standard internet log and visitor behaviour information. We use this information to track visitor use of the website and to compile statistical reports on website activity.
